Events.360 provides a wide range of services serving the Meetings, Incentives, Conventions and Exhibitions market. Services available through Events.360 include professional conference organising, international delegation, destination management as well as training workshops and seminars, incentive programmes, exhibition management, event organization and a wide variety of other services. Our services includes but not limited to the following:
Provide secretariat support for meetings of the Organising Committee
Liaise with the Organising Committee on a regular basis
Establish contact address and information for the event
Facilitate site inspection for the Organising Committee and assist in venue selection based on programme requirement, if necessary
Receive and action all incoming communications (mail, telephone, facsimile, email and courier) regarding the event
Preparation and ongoing revising of event budget
Administer accounts receivable (from sponsors and exhibitors, participants, etc) and payable
(to vendors, faculty, etc)
Collection of Registration Fees and day‐to‐day processing of financial transactions
Maintain record keeping relating to honorarium processing, expense reimbursement and appropriate tax documentation
Prepare and maintain income and expenditure statements
Ensure the Organising Chairperson retains financial control over authorised funds from initial budget or subsequent revision. All expenditure is approved and authorised by Organising Chairperson.
Submit a complete set of accounts to the Organising Committee after the completion of the event
Develop with graphic designer the event identity and/or logo
Formulate a strategy to maximise attendance and revenue
Design of all publicity materials for the course, including flyer and email blitz
Liaise with the printer on the printing of marketing materials
Disseminate course marketing materials to target participants
Co‐ordinate publicity upload and links with target Website
Prepare and manage print production of the Preliminary Announcement/Expression of Interest flyer, Second Announcement, Registration Brochure, indexed Abstract Book and/or CD Rom, and all other programme related materials as required
Prepare and manage print production of stationery, name badges, tickets, social invitations, delegate attendee list and posters
Develop/secure mailing lists and co‐ordinate mailings
Send invitation letters to speakers
Distribute audiovisual requirement forms to speakers to implement specific requirements accordingly
Liaise with venue regarding room usage and audiovisual requirements
Liaise with chairpersons with regard to the session/s they are chairing, provide them with speakers’ biographies and co‐ordinate on‐site briefings
Manage the Speaker Room for easy speaker check‐in and assistance
Co‐ordinate travel and accommodation arrangements for invited speakers
Co‐ordinate speakers’ gifts and thank you letters
Manage any on‐site programme changes to the programme
Handle CME accreditation application and submission
Prepare/ develop sponsorship prospectus for potential sponsors
Develop a list of potential sponsors with the Organising Committee
Liaise with potential sponsors to follow up on negotiations
Issue confirmation of sponsorship, and invoice, and collect payment
Update the Organising Committee regularly on sponsorship and collection status
Co‐ordinate all arrangements to ensure sponsor entitlements are met including obtaining sponsor logos for printing and display material
Manage and co‐ordinate all on‐site requirements of sponsors
Explore and manage opportunities for sponsors’ on‐line web banner advertising on various locations on the conference website such as registration, home page, etc.
Provide consultancy and advice on conference registration fee
Arrange for set‐up of on‐line facilities for the registration information and procedures
Receive and process registration forms from all participants, delegates, speakers, sponsors and exhibitors and receipt of payments
Prepare/issue letter of introduction for overseas delegates who require entry visas to Singapore
Provide reports in appropriate format, e.g. event statistics, demographically‐sorted delegate lists.
Provide regular reports on income to Organising Committee
Provide on‐site staff for registration desk, at separate cost
Liaise with all relevant suppliers (including venue) to ensure exhibition is professionally managed
Manage production and distribution of the exhibition selling document and the exhibition manual detailing all technical requirements and general information for confirmed exhibitors as well as a publication listing details of all exhibitors
Process and receive exhibition bookings and ensure all income is received prior to the event.
Design the exhibition layout, custom designed booths and shell scheme requirements with the appointed contractor
Organise exhibition booth construction and exhibition furnishings. Maintain close contact with venue personnel
Provide on‐site management including bump‐in, bump‐out and all on‐site queries from contractors, exhibitors and visit
Move in to venue prior to start of the event for set up and secure all arrangements
Set‐up of secretariat room, speakers’ preparation room, registration counters, trade and poster exhibition and hospitality desk, etc.
Finalise catering details and arrangement
Confirm venue requirements, including Opening Ceremony
Collation and issuance of registration satchels
Provide a post event report to the Organising Committee and arrange for post‐mortem meetings (this is usually available approximately 8 weeks after the conference)
Submit complete Statement of Accounts
Prepare and dispatch thank you letters for invited speakers, sponsors, chairpersons and volunteers as required
Return any hired equipment and archive/dispose of all event materials to the Organising Committee and/or Societ
